Weflow Desktop Apps (Windows/macOS)

A botless recording experience optimized for Windows and macOS (supporting both Intel and Silicon (e.g. M1 or newer models).

The Weflow Desktop App

The Weflow desktop app is a lightweight version of the Weflow web app. Its main purpose is to record meetings without a note-taker joining the call. It captures anything happening on your machine, both audio and video.

What the desktop app can record

The desktop app records your system audio and microphone, plus video where available. This includes:

  • Zoom, Google Meet, and Microsoft Teams meetings (including the video)

  • Phone calls running through your machine, for example via Aircall or RingCentral

Recordings work exactly as if they were captured by a note-taker. Everything you know from the web app is fully supported:

  • Field updates

  • Summaries and chapters

  • Follow-up emails

  • Scorecards

You can also view, access, and share recordings, manage your calendar, and use Ask AI directly from the desktop app.

Recording a meeting

Ad-hoc recording: Click the Record meeting button at any time. The app starts recording whatever is currently captured by your system audio and microphone.

Automatic prompt: If you join a Zoom or Google Meet meeting ad hoc, the desktop app sends you a notification asking whether you want to record. You can then opt in manually.

Notifications and meeting settings

The desktop app has dedicated notification settings to remind you about upcoming meetings. You can also choose where meeting join links open: directly in the installed Zoom or Teams app, or in your browser.

Menu bar (macOS)

On macOS, the desktop app adds a menu bar item showing all upcoming meetings for today and tomorrow, including:

  • A direct join link for each meeting

  • Attendee status

  • The event description

This lets you review and join any meeting with one click.

Permissions

Windows: Most permissions are granted automatically. No action needed.

macOS: You need to grant three permissions separately:

  • Microphone

  • Screen recording

  • Accessibility

The app asks for these when you first install and open it. If you skip them, a notification icon in the app reminds you, and you can grant them later either from the desktop app or in your Mac's System Settings.

Recording consent

Consent is not managed through Weflow. You are responsible for obtaining consent from meeting participants. If you are unsure about the consent requirements in your country, please contact your legal team.
